A well-planned IT policy can help your company meet objectives and ensure compliance, regardless of what industry you are in. Every business is different, so there is not one-size-fits-all solution to serve every company’s needs. However, incorporating the following four sample clauses into your IT policy will increase your chances of implementing a policy that can help protect your organization and increase efficiency.
- Authority PolicyThe IT Authority Policy identifies the staff members responsible for managing an IT problem and implementing the entire list of IT policies and procedures. In essence, it is an authorization from the CEO and board of directors and serves as the basis from which all other IT policies are implemented. The Authority Policy delegates responsibility and decision-making for all IT-related problems and concerns.
- Acceptable Use PolicyThe IT Acceptable Use Policy encourages the use of IT resources for business activities, while prohibiting the inappropriate use of these resources as defined by your particular policy. This clause can protect your organization from potential liability as well as increase efficiency by limiting your IT resources to legitimate company activities only. IT resources may include software (commercially licensed packages or proprietary configurations), capital assets (computers, mobile devices, wiring), and intellectual capital (user files, proprietary database information, electronic correspondence).
- Backup PolicyA solid IT Backup Policy can keep your company’s vital records safe, even if the worst happens. This policy defines how your company backs up its file servers, mail server, web server, and other critical systems. It safeguards your company’s mission-critical data from loss or destruction in the event of an equipment failure, intentional data destruction or disaster.
- Data Archival PolicyIn the same vein of backing up your data to keep it safe, your company will need an IT Data Archival Policy. This policy defines the methods for archiving, retaining, and disposing of confidential and proprietary information used within the course of daily business activities. As large amounts of information makes its way into, and out of your company, you will want to ensure proper handling and disposal to protect your organization from liability.
